Key responsibilities:
• Assist the maintenance of a reception function answering the main door, ensuring visitors are greeted in a friendly and welcoming manner and asking visitors to sign in notifying staff that visitors have arrived.
• Answer telephone calls, during peak periods, taking messages in a professional and friendly manner and communicating these to the main Access Hub inbox. Direct calls to the appropriate staff members and take accurate messages when staffers are unavailable.
• The word processing of correspondence, reports and other documents to an accurate and appropriate standard.
• To support maintaining and managing the room booking and desk booking spreadsheet, ensuring it remains current and is prepared for the coming months. Print off room booking sheets and attach to meeting room doors as required.
• Receive incoming mail and deliveries taking up to the Admin Office.
• Maintaining the reception area, ensuring it is tidy and presentable at all times
